Less paperwork, more impact – with scapta and Business Central at Broederlijk Delen

When you work with public funds, partner organizations in 13 countries, and thousands of donors, you need to be able to trust your numbers. Broederlijk Delen, the NGO dedicated to the equitable redistribution of power, resources, and raw materials within the limits of a finite world, knew this too.

Her previous accounting system was due for replacement: too little flexibility, a lot of manual work, and no longer connected to the broader cloud environment in which the organization now worked.

The transition to Business Central also fit perfectly into the broader cloud strategy of recent years: from on-premise to Microsoft 365, with a clear focus on scalability and efficient collaboration.

A public tender was needed to clarify who could guide them towards a new, future-oriented way of working. Scapta stood out due to their transparent approach, practical expertise, and experience with non-profit organizations.

The result: an implementation that ran smoothly and today provides a solid foundation for further digitalization.

Everything in line

Before the switch, each department at Broederlijk Delen worked in its own way. Invoices were sent by email or on paper, approvals took detours, and reports were often compiled manually. Not ideal for an organization that works with complex financing structures, government funding, and international partners.

Today, the entire organization is working integrated with Microsoft Business Central as a central platform for:

  • the automatic processing and approval of purchase invoices (Continia)
  • gift and webshop sales management Creatio CRM
  • clear, real-time reporting Power BI

Each invoice is automatically assigned the correct dimensions, such as cost center, budget code, and funding source. Those responsible receive a notification, link the costs to the correct project, and complete the process themselves. Less noise, more control.

Well begun is half done.

The success of the project lies not only in the technology, but primarily in the preparation. Scapta worked closely with the Broederlijk Delen team to map out processes, organize workshops, and train employees.

A digital foundation to build upon

Broederlijk Delen continues to build. The integration with Quipu (for project management), Power BI (for reporting) and further Automation of Peppol and dunning flows are already in the scaffolding. And also the support after the “go-live” runs smoothly, with quick help for concrete questions about rights management, depreciation, or user flows.

The digital foundation is in place. And that allows Broederlijk Delen to fully concentrate on what really matters: a fairer world.
