From analysis & testing to go-live – continuity guaranteed

Switching to a new system should not be underestimated. Scapta knows this all too well. So, first things first, mapping out all needs and wishes. Not everything could be taken over exactly from Navision; a structured workshop combined with Scapta's expertise provided a solution for the configuration of the new system. The result? Certain external integrations, such as the one for payroll software HiAnt, certainly require extra attention during this transition. “This software is hosted externally, so we don't have much control over it ourselves,” says Piet Knevels. “Fortunately, Scapta handled all of that perfectly for us.”

In the subsequent workshops, all functionalities for finance were reviewed and users received initial training right away. This was a matter of practically getting used to the new system. “Advantageous for our timing because this allowed us to launch a number of smaller components early. Ideal for getting the hang of the flow,” continues Erwin Germeys, Business Consultant at scapta. As a result, the major switch was much easier for the employees of Asap.

Although Asap and Scapta were already partners before this new step towards Business Central, keek Asap took another look around the market to compare suppliers. Conclusion? Business Central provides much more control over financial flows. Errors are caught more quickly and automatically. Customer files are continuously up-to-date. The links with Dynamics and the CRM system are always current, and data is automatically transferred to the debtor solution. All of these were previously very labor-intensive tasks. “Approvals for payments now go through Continia and are much smoother. As a result, we also have to book fewer provisions, and it's immediately clear why an invoice is being held back, for example,” adds Piet. Asap is pleased that scapta itself provides support to external partners, such as HiAnt. “Actually outside our scope. That once again shows the dedication of the scapta team.”

The transition to Business Central means improved transparency and efficiency. And lo and behold, many options remain open for the future. The go-live of the reporting module, for example. This is handled by an external party, but scapta manages the interface. There's also the ambition to integrate budgets into Business Central. “We're happy that we've come this far with a standard solution, and that we didn't go custom. This makes the entire process simpler and future-proof. It definitely leaves us wanting more!”
