This expansion brought many new customers. And where Excel and a limited VAT setup used to suffice, the system soon reached its limits.

Paul de Poot, Managing Director at Dux, looks back: “We went from about twenty large clients to hundreds of hair salons. Excel no longer worked and Dynamics NAV only handled the orders. The rest remained fragmented.”

The increasing complexity of discounts and promotions for field representatives, and the desire for an integrated CRM, made it clear that Dux needed a stable foundation for the future.

To comb the knots out of the system

Together with scapta Goose, duck, for Microsoft Dynamics 365 Business Central as a new foundation. All data since 2017 was migrated. The old system was shut down on Friday evening, and the organization was already running on Business Central by Monday morning. Not a completely new start, but a fresh reset.

The migration went remarkably smoothly. Where many companies are hesitant about data transfer and potential downtime, continuity was guaranteed at Dux.

Everything is in order

With Business Central, Dux now has one integrated system. Accounting, inventory, logistics, sales, and CRM are all connected. This not only leads to greater efficiency but also more peace of mind within the organization.

According to Paul, that's the biggest difference: “We don't want separate tools or duplicate data. Everything starts from Business Central. That provides peace of mind and control.”

Employees no longer have to keep separate files or enter data twice. From incoming goods and order proposals to delivery notes: the entire process is now in one flow. What used to be separate puzzle pieces now forms a cohesive whole.

Human-scale cooperation

According to Paul, the collaboration was once again a logical choice. “We looked at the market, but in the end, we knew: Scapta understands us best. Their pragmatic approach gave us confidence. The consultants kept pace with us and took our specific needs into account, from discounts to promotions.”

Paul explains: “We knew our needs differed from the standard, but Scapta helped us remain flexible without unnecessary customization.”

“Dynamics NAV used to only handle orders. Now Business Central supports the entire process: from purchasing to delivery and accounting,” Paul explains.

With Power BI, account managers are no longer just looking in the rearview mirror, but forward with a complete view of their customers. Which products are doing well, where are there gaps in the product range, which credit notes have been issued? All information is immediately available, making commercial conversations well-founded and targeted.

Paul attacks: “Thanks to Power BI, our colleagues in the field immediately have visibility into what's happening with their clients. That makes their conversations concrete and to the point.”

The result? Less manual work and fewer errors, continuity thanks to the migration of historical data, and more insight for everyone in the organization.

More customers, fewer worries

Dux and Scapta will continue to optimize: refining report definitions, streamlining the logistical flow (including labels), and sharpening commercial flexibility around discounts and promotions. Additionally, Dux is looking ahead to AI applications.

“We receive orders through all sorts of channels: from WhatsApp photos to scrap pieces of paper. AI can help interpret that faster and more consistently,” says Paul, looking ahead.

The goal? To give sales and inside sales more time for the essentials: helping customers and continuing Dux's growth. Or as Paul concludes: “We want to be ready for the next generation. And Scapta helps us with that.”
